Choosing the perfect wedding venue is a pivotal part of planning your big day, and asking the right questions during your tour can make all the difference. When you visit potential venues, it's essential to gather all the information you need to ensure your wedding day will be everything you've dreamed of. Here are some key questions to ask to help you make an informed decision.
Availability:
Is the venue available on our preferred wedding date?
Capacity:
What is the maximum number of guests the venue can accommodate? Seating at High Beam Dreams depends on the layout you choose. Our round table seating capacity is 100, rectangular table is 145 and 150 in concert style.
Cost:
What is the total cost, and what does it include? Are there any hidden fees? Wedding Packages at High Beam Dreams includes - indoor and outdoor space, tables, chairs, basic PA system and one party speaker, Projector, custom made bridal arch, coffee machine, ice making machine, water boiler, liquor bar area, refrigerator, custom spit and grill, Piano, catering prep area, air conditioning/heating and ample parking space on and around the property
Payment Terms:
What is the deposit amount, and when is the final payment due? At High Beam Dreams, we require a retainer along with the signed contract to block the dates. Full payment is required 5 months prior to the scheduled date of the event.
Special Event Insurance Policy:
Always ask if this is required. High Beam Dreams requires you to have Special Event Insurance. We also advise couple to purchase cancellation insurance. This helps them if any of their vendor is unable to offer their services. Couples may be able to recover the amount paid to a specific vendor that is unable to off their services?
Event Coordination: Is there an on-site coordinator available on the day of the wedding? Couples are advised to hire a wedding planner. It is mandatory to have ‘Day of the’ Coordinator. We are happy to offer this services at an extra cost.
Setup and Cleanup:
Who is responsible for setup and cleanup? Are there additional costs for these services? High Beam Dreams will provide you with clean space and we are not responsible for the clean up in between the event. Post event you are required to segregate trash and recyclables. If the recyclables and garbge are not separated/sorted, there is an extra charge for this.
Vendors:
Does the venue have a list of preferred vendors, or can we bring in our own? High Beam Dreams has a preferred list of vendors that our couples find very helpful. The vendors on that list are the ones who have worked with us, have developed a good relationship and understand the space. You are welcome to bring your own vendors except caterers. If couples decide to bring in their caterer of choice that is not listed on our list, they need to get approval from the venue. We believe in ensuring that you have the best day, therefore, it is important that the food served at your event is top notch.
Catering:
Do you offer in-house catering, or do we need to hire an external caterer? We offer catering and also have a preferred vendors list from which you are welcome to choose caterers. However, if you decide to go with a caterer that is not listed on the recommended vendors list, it has to be approved by the venue.
Alcohol:
Is alcohol allowed, and if so, do you provide it or can we bring our own? Are there corkage fees? At High Beam Dreams, you are allowed to bring your on alcohol. However, yo need to have an approved Special Event Permit and Insurance. Yo must also have a licensed bartender or hire someone with valid Serving it Right
Decorations:
Are there any restrictions on decorations? When can we start decorating? High Beam Dreams does not allow open flames or any decoration that is flammable. We also do not allow use of nails on the wall. Contact us to know more on what you can do with the space to make it your own for your big day!
Parking:
Is there ample parking for guests? Is parking free, or are there additional charges? Parking is free of charge at High Beam Dreams. We have ample parking on and around the property.
Accessibility:
Is the venue accessible for guests with disabilities? High Beam Dreams is an accessible venue with accessible, parking, path, entrance and washroom.
Accommodations:
Are there nearby accommodations for out-of-town guests? Do you have partnerships with local hotels? High Beam Dreams is happy to offer recommendation on places to stay
Weather Contingency:
If the venue has outdoor spaces, is there a backup plan for inclement weather? High Beam Dreams is an indoor-outdoor venue. Ceremonies can be held inside during inclement weather condition.
Event Duration: How many hours are included in the rental fee, and are there overtime charges if the event runs long? We have different packages available and based on couples’ needs they are welcome to choose the one that suits their needs.
Security: Is security provided, or do we need to arrange for it separately? We do not provide security. Couples need to arrange for it.
Personalization: Can we personalize the space to reflect our wedding theme and style? Yes, absolutely! We offer you a blank canvas and you are welcome to bring your dreams and ideas to personalize the space for your big day.
